The advice usually comes from consultants who work with Fortune 500 companies, or from technology vendors who want to sell you their platform, or from VCs who've invested in AI startups.

What none of them tell you is this: most of that advice is useless for a Romanian SME with €2-10M in revenue, a team of 20-100 people, and technology budgets measured in tens of thousands of euros, not millions.

The question isn't whether AI can transform your business. It's whether AI can transform your business within your actual constraints of budget, data, and organizational capacity.

The Three AI Applications That Actually Make Sense for SMEs

Not every AI use case is created equal. For smaller companies, the winning applications share three characteristics: they solve an immediate, measurable problem; they work with the data you already have; and they don't require a dedicated AI team to maintain.

1. Process Automation

The most underrated AI application for SMEs is the automation of repetitive cognitive tasks. Not physical automation (robots in factories) but cognitive automation: document processing, data entry, report generation, email classification, invoice handling.

Real Example

A Romanian logistics company spent 15 hours per week manually processing shipping documents, extracting data, and entering it into their ERP system. An AI document processing solution reduced this to 2 hours of human review. Monthly savings: €1,200 in labor costs. Implementation cost: €8,000. Payback period: 7 months.

2. Customer Service Enhancement

AI-powered customer service doesn't mean replacing humans with chatbots. It means augmenting your existing team: intelligent routing of inquiries, suggested responses for common questions, automatic classification of support tickets, 24/7 handling of simple requests.

  • First-line response for common questions (pricing, hours, basic product info)
  • Ticket classification and priority routing
  • Response suggestions for human agents
  • Sentiment analysis to flag urgent or escalated situations

3. Data Analysis and Insights

Most SMEs are sitting on data they've never analyzed: sales patterns, customer behavior, inventory movements, financial trends. AI tools can surface insights that would take a human analyst days or weeks to find — if you had a human analyst, which most SMEs don't.

Are You "AI Ready"? A Self-Assessment

Before investing in AI, you need to honestly assess whether your organization is ready. AI readiness isn't about having the latest technology — it's about having the foundations in place.

Data Readiness

  • Do you have digital records of the process you want to automate?
  • Is your data reasonably clean and consistent?
  • Do you have at least 6-12 months of historical data?
  • Can you access your data programmatically (APIs, exports)?

Process Readiness

  • Is the process you want to improve actually documented?
  • Are there clear inputs and outputs?
  • Is there a human who currently does this and can explain the logic?
  • Is the process stable enough that automating it makes sense?

Organizational Readiness

  • Is there executive sponsorship for the project?
  • Will the affected team members support the change?
  • Do you have budget for both implementation AND ongoing operation?
  • Can you tolerate a 3-6 month timeline to see results?

If you answered "yes" to 8+ questions: You're ready to start an AI project.

5-7 yes answers: You're close — address the gaps first.

Build vs. Buy: A Realistic Framework

The right question isn't "should we build or buy?" It's "what should we build, what should we buy, and what should we configure?"

Buy (Off-the-Shelf SaaS)

For common use cases — email automation, basic chatbots, document scanning, standard analytics — buying an existing solution almost always makes sense. The tools exist, they're proven, and they're priced for SME budgets.

Configure (Customized Platforms)

Middle ground: take a platform like Microsoft Power Platform, Zapier with AI capabilities, or industry-specific tools, and configure them to your specific needs. You're not building from scratch, but you're not limited to generic functionality.

Build (Custom Development)

Only build custom AI solutions when: your use case is genuinely unique; it provides competitive advantage; no existing tool comes close; and you have budget for both development and ongoing maintenance.
